Privacy notice · Updated 27 September 2026
Who we are
Estates Done Right Ltd is responsible for the personal information covered by this notice. Company number: 17447576. Registered office: Suite 2a, 6th Floor, Cobalt Square, 83–85 Hagley Road, Birmingham, United Kingdom, B16 8QG.
For privacy questions or requests, email Email EDR or call 07466 935457.
What we collect
When you send an enquiry, we receive your name, email address, subject and message. When you request a call, we collect your name and email address, plus any phone number or company name you provide. We also keep correspondence needed to understand and respond to your enquiry.
When you register for the EDR starter pack, we collect your email address, any name you choose to provide and a record of your request. Your completed local Excel tracker is not sent to EDR automatically.
When you sign up for the EDR newsletter, we collect your email address, any name you choose to provide, and information needed to manage your subscription and email confirmation.
Please keep your message relevant to the property and the help you need. Avoid sending sensitive personal information or confidential third-party records through the website forms. We can agree a suitable way to share documents if a review or project progresses.
Why we use it
We use your details to respond, arrange a conversation, understand your requirements and discuss a possible scope of work. Our legitimate interest is handling business enquiries and managing prospective client relationships. Where you ask us to take steps towards a contract with you personally, that is also a basis for the relevant processing.
We use starter-pack registration details to record and provide the resource you requested. Our legitimate interest is administering that request. Pack access does not enrol you in newsletters, and we do not use it as consent for ongoing marketing.
A property enquiry, call request or starter-pack registration does not subscribe you to marketing campaigns. The separate EDR newsletter sign-up asks for your consent to receive occasional email updates on commercial facilities management, property projects and practical reviews. It includes email confirmation. We rely on your consent for that newsletter. You can withdraw it using the unsubscribe link in any newsletter or by emailing us.
The services we use
Systeme.io provides this website, the CRM used for enquiries and resource requests and the newsletter tools. Its email service processes information needed to send confirmation messages and newsletters. Microsoft provides our business email. These suppliers process information as needed to provide their services. We do not sell enquiry details.
Systeme.io states that its servers are hosted by Amazon Web Services in Ireland. Microsoft operates internationally. Supplier locations, processing terms and transfer arrangements should be read alongside their notices: Systeme.io privacy policy and Microsoft privacy statement.
How long we keep it
If an enquiry or resource request does not become client work, we keep its information for 12 months after the last enquiry or resource-request contact. We then review and delete it unless there is a continuing business, contractual or legal need to retain it. If an enquiry becomes client work, the retention requirements for the engagement, accounts and relevant legal obligations will be explained separately.
Newsletter contact details are retained while your subscription is active. If you unsubscribe or object to marketing, we stop sending it. We retain only the information needed to honour that preference and any applicable legal obligations.
Providing your details
The forms identify the fields needed to submit an enquiry, request a call or access the starter pack. You choose whether to provide these details. If you prefer, email us directly using the address above. Without suitable contact details, we may be unable to respond or arrange your call.
We do not use website enquiries to make automated decisions with legal or similarly significant effects. The call-request workflow creates a CRM record and places it in the enquiry pipeline so it can be reviewed.
Your choices and rights
Depending on the circumstances, you can ask to access, correct or erase your information, restrict its use, object to processing based on legitimate interests, or receive a portable copy where that right applies. If we rely on consent, you can withdraw it. Contact us using the email above.
You can also complain to the Information Commissioner's Office. You do not have to contact us first.
Cookies and external links
EDR has not added advertising pixels or optional analytics to this website. A scan of the homepage on 18 September 2026 detected no cookies; this is a point-in-time check of that page. The website platform processes technical information needed to deliver and operate its services. We will review this notice and introduce any required consent controls before adding optional tracking or storage technologies. LinkedIn and external booking links take you to services with their own privacy and cookie arrangements.
This notice covers website enquiries, call requests, starter-pack registrations and newsletter subscriptions. If we undertake work involving additional personal information or introduce further marketing tools, we will provide the relevant information for that activity.
